Armoura Pty Ltd – Terms and Conditions 

It is important to realize that our coaches’ income and livelihood are based purely on hours on court. Our Terms and Conditions therefore reflect this, whilst ensuring we can deliver a professional service at all times.

1.0 Private lessons

Private lessons can be arranged for players of all levels wanting to take their tennis to the next level. Private lessons enable the coach to correct specific areas of the player’s game, to ensure maximum improvement and achieve the player’s long-term goals.

1.1 Cancellation policy

Armoura has a 24-hour cancellation / re-scheduling policy. Cancellations must be notified to the coach a minimum of 24hrs before the scheduled private lesson or the lesson will be charged at the normal rate. 

We realize that there are many things that come up in people’s day-to-day lives. While truly sympathetic, we cannot absorb the financial responsibility of last-minute cancellations. Coaches and session times have been allocated for booked lessons and unfortunately cannot be rescheduled or cancelled without the required notice.

In fairness to all clients, this policy is in effect regardless of the reason for the cancellation.

1.2 Payment terms and invoicing

All Private lessons must be paid for in cash or by Payment Link to Armoura before the commencement of the term or upon agreement with the coach.

Termly invoicing of all scheduled lessons will be arranged. A valid email address and mobile number must be provided to set up for termly invoicing.

Armoura offers 14 days payment terms on all invoices. If the terms of the account exceed 30 days from the invoice due date, the continuation of private lessons maybe suspended. If for any reason you are unable to comply with this please call the office to make alternative arrangements.

2.0 Program enrolments policy

Enrolments should be made prior to the start of the term in order to collect the relevant Health and Safety information on players, and ensure our strict class ratios are maintained. Spaces cannot be guaranteed until payment has been made. If for any reason you are unable to comply with this please call the office to make alternative arrangements.

If a program is not at full capacity, enrolments may be allowed during the Term so please call the Armoura phone number to discuss this on +61422596550 or email Armoura.sc@gmail.com.

Every program allows for a minimum and a maximum number of participants. Should your child be enrolled in a program that at the beginning of the term does not have the minimum number of children enrolled, Armoura reserves the right to cancel the program. If available, you will be offered an alternative day/time for the same program. Should you be unable to commit to the alternative day/time offered, you will receive a full refund for your enrollment.

3.0 Make-up lesson policy

Make-up lessons are permitted under the following conditions only:

  • Absences that provide doctors certificates or valid excuse must be communicated and emailed to Armoura and the request must be made for a make-up lesson.

  • Make-up lessons are offered as a courtesy of Armoura and are subject to the availability of an appropriate and equivalent program place.

  • Make-up lessons must be attended once it is communicated and organised by Armoura.

  • Make-up lessons are non-refundable 

  • Make-up lessons are not transferable to other participants.

  • Make-up lessons are to be taken in the current term or in the following school holidays.

4.0 Wash-out and heat policy

All Armoura programs will run a modified program in the event that it is too hot or heavy rain. It will be rare that a program will be cancelled, but if the head coach decides to do this they will notify you via Text Message on the Whatsapp Community Group as soon as possible before the start of the class.

For Squad programs in the event of rain, we encourage players to wear wet weather gear and be prepared to train still if courts are deemed fit for practice.

In the event a parent or player deems the weather conditions to be too extreme for safe participation in any program where possible, we will allow the player to arrange a make-up session (please see 3.0 Make-up lesson policy).

Lessons will always be on unless you are notified of a cancellation.

5.0 Privacy Policy

Armoura takes privacy extremely seriously. We will only store information relevant for coaching and billing purposes and this is only accessible by the director and administration staff. We will never share your private information with a third party or advertising agency.

Armoura may take photographs of children whilst they are playing tennis. These photographs may be used in Armoura’s marketing material including leaflets, posters, the Armoura’s website and social media pages. If you do not give permission for your child to be photographed please email Armoura.sc@gmail.com to advise us.


6.0 Photo & Media Release (Minors Under 18)

6.1 Consent

I, the parent or legal guardian of the participant under the age of 18, give permission for Amroura Pty Ltd to photograph, film, or otherwise record my child during activities, events, training sessions, or programs.

6.2 Use of Images and Media

I understand and agree that these images and recordings may be used by Armoura Pty Ltd for:

  • Promotional and marketing materials

  • Social media platforms

  • Websites and digital content

  • Print materials (flyers, posters, brochures)

  • Presentations, reports, and grant applications

6.3 No Financial Compensation

I acknowledge that no payment, royalties, or compensation will be provided for the use of my child’s image or likeness.

6.4 Ownership

All photographs, videos, and recordings remain the property of Armoura Pty Ltd.

6.5 Identification

My child’s first name may be used in connection with images. No surnames or personal identifying information will be published without additional consent.

6.6 Withdrawal of Consent

I understand that consent may be withdrawn at any time by providing written notice to Armoura Pty Ltd. Withdrawal will apply to future use only and not to materials already published or distributed.

6.7 Storage and Privacy

All media will be stored securely and used in accordance with applicable privacy laws, including the Privacy Act 1988 (Cth) and Australian Privacy Principles.

6.8 Release of Liability

I release and discharge Armoura Pty Ltd, its staff, volunteers, and partners from any claims arising from the use of my child’s images or recordings as outlined in this agreement.

6.9 Confirmation of Authority

I confirm that I am the parent or legal guardian of the child and have the legal authority to provide this consent.

Student Terms and Conditions

Tennis Coaching & Strength and Conditioning Programs

1. Participation

Participation in coaching sessions, training programs, and activities provided by Armoura Pty Ltd is voluntary. All students are expected to follow instructions given by coaches at all times to ensure safety and positive participation.

2. Eligibility

Students must be registered with Armoura Pty Ltd and have a completed registration form submitted by a parent or legal guardian before participating. Programs are open to students based on age, ability, and suitability as determined by coaching staff.

3. Nature of Activities

Activities may include, but are not limited to:

  • Tennis coaching and match play

  • Strength and conditioning exercises

  • Speed, agility, balance, and coordination drills

  • Warm-ups, cool-downs, and fitness-based activities

These activities may involve physical exertion and carry an inherent risk of injury.

4. Health and Medical Information

Parents or guardians must disclose any relevant medical conditions, injuries, allergies, or special needs prior to participation.
It is the responsibility of the parent or guardian to update Armoura Pty Ltd of any changes to the student’s medical condition.

5. Assumption of Risk

I acknowledge that participation in tennis and strength and conditioning activities involves inherent risks, including but not limited to muscle strains, falls, collisions, or other injuries.
I voluntarily accept these risks on behalf of my child.

6. Injury and First Aid

In the event of an injury or medical emergency, I authorise Armoura Pty Ltd staff to provide basic first aid and seek medical assistance if deemed necessary.
I accept responsibility for any medical costs incurred.

7. Duty of Care

Armoura Pty Ltd will take reasonable steps to provide a safe training environment, qualified coaching staff, and age-appropriate programming. However, no guarantee is made that injuries will not occur.

8. Behaviour and Conduct

Students are expected to:

  • Treat coaches, staff, and other participants with respect

  • Follow safety rules and instructions

  • Use equipment appropriately

  • Refrain from bullying, aggressive, or unsafe behaviour

Failure to comply may result in removal from a session or program without refund.
